Visual content research
  • Set up, organize and maintain assigned projects in the Feldman content management system.
  • Create a secure web page for each project. Provide logins and access to all parties designated by Client.
  • Receive visual specifications from Client and enter them into project database.
  • Research and capture photo, art, audio and video content for assigned photo specs; enter metadata into the project database.
  • Distribute License Requests to all rightsholders and follow up as required to obtain a properly executed licensing agreement and invoice from each.
  • Optimize images for web posting. Post researched photo options to the project web page.
  • If desired by Client, incorporate client-acquired content on the project web page.
  • As content is selected for use in projects, acquire reproduction quality image files and audio/video footage. Post to the Feldman FTP site for retrieval by Client.
  • Generate credit acknowledgements for all visual content used in the project in a format specified by Client.
  • At the conclusion of a project, permanently archive final image files on the Feldman Archive Server.
Visual content permissions
  • Assist Client in determining rights packages and language appropriate to each project.
  • Create an automated Permissions Request incorporating approved rights and licensing language (or use Client system).
  • 3. Review final project PDFs to confirm page, size, position, color, original/reuse and other usage detail. Enter usage data into the project database.
  • E4. Contact stock agencies, photographers, institutions and other rightsholders of content selected for use and negotiate pricing for rights requested. Enter licensing costs into the project database.
  • Handle special and secondary permissions required by museums, estates and other organizations or institutions.
  • Receive, review, approve rightsholder licensing materials and transmit to Client for payment.
  • Scan final permissions documentation to PDF, incorporate in the project database and post to the Feldman website.
  • At the conclusion of a project, export all usage and cost detail from the Feldman system to an Excel file and provide to Client, along with scans of permissions documentation.
Text permissions
  • Set up, organize and maintain assigned text permissions projects in the Feldman system; review books and selections to be permissioned.
  • Enter text specs into the project database; confirm correct licensetype and citation.
  • Create an automated Permission Request incorporating approved rights and licensing language (or use Client system).
  • Scan selection excerpts for incorporation into the Permission Request.
  • Generate and send out Permission Requests with appropriate cover emails or letters.
  • When referred to an alternate grantor, send out a new Permission Request.
  • Follow up requests among non-responsive grantors until a properly executed licensing agreement and invoice is obtained from each.
  • Respond to grantor questions, negotiate rights and pricing where required.
  • Maintain a log in the project database of all grantor contacts detailing the status of each permission.
  • Receive and review licensing materials, enter relevant dates, rights and cost data into project database.
  • Copy, scan and transmit all licensing materials to Client for payment.
  • Generate and transmit credit acknowledgements for all text selections used in the project.
  • At the conclusion of a project, export all usage and cost detail from the Feldman system to an Excel file and transmit to Client, along with scans of permissions documentation.
Project management
  • Communicate with Client and other project contributors and consultants as required to maintain workflow and understand requirements.
  • Create and post to the website periodic reports for each project detailing research and acquisitions status, permission status, content licensing cost, current and projected budget.
  • Provide overall project management required to assure quality, meet deadlines, maintain budgets.
Archive management
  • Indefinitely maintain content researched and permissioned for Client projects on the Feldman website, and provide Client with unrestricted access for as long as Feldman is providing services to Client.
  • Archive and indefinitely maintain high resolution image files and permissions documentation related to Client projects.
  • Create daily and weekly on and off-site backups of all digital content acquired for Client.
